The legal basis for collecting the information you provide is to fulfil the contract of providing you with a quotation or car hire reservation. Our Data Protection Statement should be read in conjunction with our Privacy Policy

Customer Data

The customer data we gather as part of our service to you is as follows:

  • Name
  • Address
  • Email
  • Phone Number

This information is stored on our carhireteam website, Xero (our accounting system), and also stored by our payment processor – Stripe.

Stripe will also gather the following information:

  • Your credit/debit card number, expiry date and any authentication data required to complete your purchase.

We only have access to encrypted and abbreviated card information as required to verify payments and administer refunds.

Data Sharing

In order to place your reservation with the car hire supplier and fulfil our contract to you, we must share your first and last name with the supplier. The supplier may be based in another country.

Further Uses

If you wish us to, we will also gather the following information in order to complete early check in with your car hire supplier on your behalf:

  • Name
  • Address
  • Email
  • Phone number
  • Driver number
  • Licence Expiry date
  • Date of Birth

This information is gathered via a secure Google Form, provided to the supplier and then deleted from the google form.

If you join our email newsletter list, we will gather your:

  • Name
  • Email Address
  • Age Bracket

This information is stored by MailChimp, and used to provide our monthly newsletters to you. How you interact with that email, such as whether you open or share the email, or click on any links, will also be stored by MailChimp. Your data is stored until such time as you ask us to delete it.  Clients who unsubscribe will have their data deleted within approx 6 months as part of our regular database maintenance.

Our website uses Google and Facebook analytic cookies to track how you access and use the website, it then provides this data to us in the form of aggregated reports – with no personally identifying information. Please see further details on our Cookie Policy

Emails

Emails that you send to us are retained in our email client (1&1 Mail) and used to provide whatever service you have requested. We ask that you do not use email to send us sensitive information such as payment details or driving licence information.
