Terms and Conditions

These are the terms and conditions under which Pre-paid rental vouchers on carhireteam.co.uk are offered for sale.  Please read them carefully before ticking the box to confirm that you have read them. If you do not agree with any aspect of these Terms and Conditions then please do not purchase a pre-paid rental voucher from The Car Hire Team Ltd.

Cancellations and Amendments:

All reservations may have 1 free cancellation per trip and provided the reservation is cancelled at least 72 hours before scheduled collection will receive a 100% refund. Cancellation requests need to be received during our UK office hours in order to cancel within the stated time-frame with your supplier.  Subsequent reservation cancellations for the same trip will be subject to an administration charge of £25. We carry out amendments for free. If the amendment results in a change of cost to the car hire this amount we will charge or refund this accordingly.  If a vehicle is not collected/cannot be collected or is cancelled within 48 hours of scheduled collection time, no refund will be due. In the event of an early return of the vehicle no refund is due for the unused portion of the rental.

Driving License:

All drivers must produce their full, valid driving licence from their country of residence, which must be held for at least one year.

It is the driver’s responsibility to ensure that they have the appropriate licence. Drivers with driving licences not issued within the EU and not in English, require an International Driving Permit. Please check before placing a reservation.

If the driver has endorsements on the driving licence, please check before placing a reservation. Most points do not present a problem and we will confirm this for you. A current driving ban in your country of residence will prevent you from driving elsewhere.

Please be advised that no refunds are given for rentals rejected due to failure to produce a valid driving licence. Photocopied or faxed licences will not be accepted.

Country Booking Exclusions:

Our pre-paid rental vouchers will not be valid and will not be honoured if a US or Canadian driving licence and/or passport is presented to the supplier upon collection. Renters with a Chinese Driving License are not permitted to rent in the states of Michigan and Massachusetts.

Drivers with a driving licence from any South American country must only book with Alamo. All other suppliers state that they will not honour the reservation.

Insurance Exclusions:

The Car Hire Team Ltd acts as an agent for many Car Rental Companies. A contract between you and them will be made upon collection of the car. Clients are subject to the terms and conditions of that rental contract and the laws of that country in which the rental has taken place. Each rental company and its agents, at their discretion, reserve the right to refuse hire to any person. The Car Hire Team Ltd shall not be liable and will not accept responsibility for any loss, damage, delays or changes arising from circumstances outside its control.

Excess:

There is Zero Excess on all rentals in the USA.  Within Canada most suppliers have an Excess of between $300 CAD and $1500 CAD for Collision Damage and/or Theft Waiver. The exact excess is displayed on the results page as you book your car.

Credit Card:

All clients must produce a valid credit card in the lead driver’s name as a form of deposit when collecting the rental car. All additional drivers may also be required to present a valid credit card (mandatory in New York State), unless they are the spouse/domestic partner of the lead driver. Major Debit cards may be accepted, please check before booking. Cash deposits are rarely acceptable.

Rental Voucher:

The rental voucher must be presented when picking up your rental car. The Car Hire Team Ltd cannot be held responsible for rentals rejected because a voucher is not presented. You should retain your rental documents for a minimum of 28 days after returning home.

Fuel Policy:

Most car rental companies supply the vehicle with a full tank of fuel (except downtown Manhattan locations where there are no refuelling facilities). Please check the fuel policy on your voucher and again when you pick up the vehicle. If you fill the car up before returning it, please obtain and retain a receipt. We require a copy of your fuel receipt to make a complaint on your behalf.

Period of Hire:

Minimum rental is usually 1 day, for some car hire companies it is 2 days. A 24-hour period is used to calculate rentals.  Budget has a maximum rental period of 28 days. Alamo and National require you to return to the depot to sign new paperwork every 30 days. Dollar, Thrifty and Hertz have a maximum rental period of 62 days. All extensions to the booked hire are paid locally at the time of rental.

One Way Rentals:

One way rentals are available in most states/countries and may be subject to a local charge. The website displays the charge at the time of booking. Your voucher will note the fee.

Mileage:

Mileage is unlimited for all USA rentals.

Unlimited mileage is included with all Canada rentals with the exception of the following locations which have a daily limit of 200 km: Gaspe, Matane, Mont Joli, Rimouski, Riviere Du Loup, Sept Iles, Campbell River, Deer Lake, Gander, Jasper, Regina, St Johns and Wabush.

Your voucher will note any mileage restrictions elsewhere.

Driving Areas:

If you plan to drive outside the country of hire, please check with reservations as local charges may apply for this service.

Driver’s Age:

Driver’s under the age of 25 are liable for a ‘young driver’s’ surcharge (payable locally) unless you take our Young Driver Package.

Child Seats:

Child seats are compulsory in most countries,  please request them when booking. There is no guarantee of availability. The supplier will provide instructions, however the customer must fit the seats. We recommend that you take your own booster seats for older children.  You will pay for your child seats locally.

Additional Drivers:

Charges normally apply for additional drivers. The Car Hire Team Ltd will not be held responsible for any increase in charges. Please check with our reservations department at the time of booking.

Number of Passengers:

The vehicles is insured for a maximum number of passengers. It is the renter’s responsibility that they book a vehicle large enough to provide a seat for every passenger.

Car Type/Suitability:

The Car Hire Team Ltd is unable to guarantee a particular make or model of car. The car type shown on the website and your voucher is for guidance only. The company may substitute an alternative/similar vehicle. All reservations are for a category of car. The car rental company will provide a car within the category, if none is available a larger vehicle is supplied.  No extra charges for this service will apply. It is the renter’s responsibility to ensure that they book a vehicle large enough for the number of passengers and any luggage they may be travelling with. If the standard of car supplied dissatisfies, you must advise the local supplier immediately. The Car Hire Team Ltd accepts no liability where this procedure is not followed.

Flight Information:

The correct flight number is essential for all “on airport” and “meet and greet” collections. Where locations are not open 24 hours a day a flight number will allow the supplier to stay open to meet your flight if it is delayed. Without a number they will not know when to anticipate your arrival and may close before you have collected. When information is not given in time, The Car Hire Team Ltd will endeavour to ensure the car is available. The Car Hire Team Ltd does not accept responsibility or provide compensation for a failed rental where the customer does not supply this information.

Mechanical Difficulties:

In case of breakdown or mechanical difficulties you must call the car rental company within 24 hours using the number which appears on your rental agreement.  The following are not mechanical breakdown so you need to cover these costs yourself. This list is for illustrative purposes, it is not exhaustive:

• Flat Battery (faulty batteries covered)
• Damage caused by putting the wrong fuel type in the car (e.g. putting diesel in a petrol car)
• Broken Windows/Damage to Windscreens (e.g. chips to the screen)
• Damage to the Wheel or Tyre replacement (e.g. if damaged by hitting the curb. Covered if worn)
• Key replacement if you lose the key
• Roadside assistance if you lock yourself out of the car
• Damage to roof, underside or interior of vehicle caused by negligence
• Damage to child seats
• Loss of items from inside the car

Often you will not be charged for the above, but that is at the discretion of the rental companies.

It is important to note that rental companies in the USA will charge you for any towing fees, regardless of fault. You may wish to take out an additional product to protect against possibility.

Suppliers may offer you additional roadside assistance to cover the above eventualities which is optional. They may ask for an additional daily fee for this. You do not have to take this cover because it is not compulsory. If accepted at the start of your rental no refund is due.

In Case of an Accident:

You should complete and submit an accident report before the end of the hire. You should notify the police in the case of accidents or notable vandalism and obtain a signed Police report. Take full details of any third parties. Sign a check out form upon returning the vehicle and allow extra time for this process. Retain all rental documents in the event of an insurance company becoming involved. Compensation will not be considered if you do not follow the procedure. Failure to do this may delay the investigation of disputes regarding insurance excess charges where these apply.

Customer Service:

When you place a reservation with The Car Hire Team Ltd you agree to us retaining all personal data provided for as long as necessary to provide our service to you in line with our Data Protection Statement.

Customer Satisfaction:

The Car Hire Team Ltd strongly recommends that you read all documentation prior to signing the rental agreement. If you have queries relating to your hire after signing the agreement please contact or return to the location. A station manager will be happy to speak with you.  Please notify us of any customer service issues within 28 days of your return. We advise you retain all paperwork from your rental for at least 28 days.

  • Toll charges
  • Congestion charges
  • Key replacement
  • Tow charges
  • Local young driver’s charges if you have not taken our Young Driver’s Package
  • Tax and fees on any extras purchased locally

The client  will sign a contract / rental agreement with the local rental company. Clients are subject to the terms and conditions of that rental contract and the laws of that country/state.  The Car Hire Team Ltd shall not be liable and will not accept responsibility for any loss, damage, delays or changes arising from circumstances outside its control. 

The Car Hire Team Ltd makes every reasonable effort to ensure the accuracy and validity of the information provided on its web pages. However, as policies, prices and conditions, and information are continually changing and are often supplied by third parties, The Car Hire Team Ltd reserves the right to change at any time without notice, information contained on this website. If an error or omission in pricing is identified, the client is able to cancel their reservation and receive a full refund.
